华星中文学校退课及退款政策

为保证课程安排、教师聘用及学校财务管理的稳定性,学生完成报名并缴纳学费后,如需退课、转课或申请退款,请遵守以下规定。

1. 试听及报名

学校每学年为每位学生提供一次试听机会。学生可在完成试听后一周内决定是否正式报名。确认报名后,原则上须按整个学年报名,并应在试听结束后一周内完成学费缴纳。未在规定时间内完成报名及缴费的,学校不保证继续保留课程名额。

如学生在本学年该课程第四次课结束后才报名,学校可根据实际报名时间,扣除报名之前未参加课程的相应课时费用,学生仅需缴纳剩余课程的学费。

学生如在该课程第二次课开始前提出退课申请,可退还已缴学费,退款将原渠道退回,并收取 $10 退款手续费。如教材、学习用品或其他材料已经购买、领取,或学校已经实际产生相关费用,该部分费用不予退还。建议报名可以提前,但是交费最好等到第一次试课之后,以免产生额外手续费。

2. 开学初期退课

学生如在本学年前两次课程结束后三(3)天内向学校提交书面退课申请,可申请退还剩余学费。前两次课程包括试听课,并以学校公布的该课程学年正式开课日期及课程安排为准。

退款时,学校将扣除学生已经参加课程的相应课时费用,以及不可退还的教材费、材料费和其他已经实际产生的费用后,退款将原渠道退回,并收取 $10 退款手续费

超过上述退课期限提出申请的,按照本政策第3条“退课截止日期之后”的规定执行。

3. 退课截止日期之后

超过上述退课期限后,原则上不再提供现金退款

如学生因个人原因无法继续参加课程,包括但不限于时间冲突、兴趣改变、参加其他活动、旅行安排或个人日程变化等,可向学校提交书面退课申请。经学校审核批准后,符合条件的剩余学费可转换为 School Credit(学校抵用额),用于抵扣学校后续符合条件的课程或活动费用。

School Credit 不等同于现金退款,不可兑换现金。并且有效期到下一学年结束,可以同一家庭成员使用,但不能转给其他家庭

如遇重大疾病、家庭搬迁或其他特殊情况,可向学校提交书面申请及必要的相关说明。学校将根据具体情况进行个案审核,并决定是否给予退款、School Credit 或其他适当安排。

4. 转课

如学生发现所报名课程的程度、时间或课程内容不适合,在目标课程有剩余名额,并经相关任课老师及学校同意的情况下,可申请转入其他合适课程。

如新课程学费高于原课程,学生需补缴学费差额;如新课程学费低于原课程,学费差额会退成School Credit(学校抵用额)

5. 学校取消课程

如因报名人数不足、教师安排或其他学校原因导致课程取消,学校将根据实际情况为学生提供以下选择:

  • 转入其他合适的课程;或调整相应学费。
  • 退还该课程尚未使用部分的学费。

6. 学生缺课及课程取消

学生因个人原因缺课,包括但不限于旅行、比赛、其他活动、时间冲突或个人日程安排等,学校不提供按次退款、学费减免或 School Credit。

如因学校或任课老师原因导致课程取消,学校将尽可能安排等量课时的补课。如无法安排补课,学校将退还相应未完成课时的学费或作出其他合理安排。

7. 其他费用

教材费、已经发生的材料费、活动费用以及学校已经实际支付或产生的其他费用,原则上不予退还。

Volunteer Deposit(志愿者押金)$50不属于学费,其缴纳、退还或抵扣按照学校当学年的志愿者政策执行,不适用本退课及退款政策。

志愿者政策:每个家庭注册时需单独缴纳$50志愿者服务押金(Volunteer Deposit)。如每学期需完成 3 次志愿者值班服务(每学年6次), 学校将在学年结束时,退还$50志愿者服务押金,或应家长要求,将该金额作为下一学年的学费抵扣。未完成规定值班要求的家庭,$50志愿者服务押金将不予退还,感谢大家的热心帮忙。

8. 退课申请及退款计算

所有退课、转课及退款申请均须以书面形式提交给学校。

退款或 School Credit 的金额,将根据学校收到正式书面申请的日期、学生实际参加或已经发生的课程次数,以及学校已经产生的相关费用进行计算。

退款处理可能需要一定时间,具体处理时间以学校实际财务流程为准。

9. 政策确认

学生完成报名并缴纳学费,即表示家长或成年学生已阅读、理解并同意遵守本《华星中文学校退课及退款政策》。

学校保留在合理范围内对特殊情况进行个案审核和处理的权利。

Huaxing Chinese School Withdrawal & Refund Policy

To ensure the stability of class scheduling, teacher staffing, and the School’s financial management, students and families who have completed registration and tuition payment are expected to follow the policies below when requesting a withdrawal, class transfer, or refund.

1. Trial Class and Enrollment

The School offers each student one trial class per school year. Students may decide whether to officially enroll within one week after completing the trial class. Once enrollment is confirmed, students are generally required to enroll for the full school year and complete tuition payment within one week after the trial class. If registration and payment are not completed within the required timeframe, the School cannot guarantee that the student’s place in the class will be held.

If a student enrolls after the fourth scheduled class of the school year has been completed, the School may prorate the tuition based on the actual enrollment date. Tuition for the classes that occurred prior to enrollment and were not attended will be deducted, and the student will only be responsible for tuition for the remaining classes.

If a student submits a withdrawal request before the second class begins, the tuition paid may be refunded to the original payment method, subject to a $10 refund processing fee. Fees for textbooks, learning supplies, materials, or other expenses that have already been purchased, distributed, paid, or otherwise incurred by the School are non-refundable.

Students are welcome to register in advance; however, we recommend waiting until after the first trial class to submit tuition payment in order to avoid unnecessary refund processing fees if the student decides not to continue.

2. Withdrawal at the Beginning of the School Year

A student who wishes to withdraw may submit a written withdrawal request within three (3) days after the completion of the first two scheduled classes of the school year. The first two classes include the trial class and are determined according to the official school-year calendar and class schedule published by the School.

For an eligible withdrawal, the School will deduct the tuition corresponding to the classes the student has already attended, as well as any non-refundable textbook fees, material fees, and other expenses already incurred by the School. The remaining eligible balance will be refunded to the original payment method, subject to a $10 refund processing fee.

Withdrawal requests submitted after this deadline will be handled in accordance with Section 3, “Withdrawal After the Refund Deadline,” below.

3. Withdrawal After the Refund Deadline

After the withdrawal deadline described above, cash refunds will generally not be provided.

If a student is unable to continue attending a course for personal reasons, including but not limited to scheduling conflicts, changes in interest, participation in other activities, travel plans, or changes in personal schedules, the student or parent/guardian may submit a written withdrawal request to the School.

Upon review and approval by the School, any eligible remaining tuition may be converted into School Credit, which may be applied toward eligible future classes or activities offered by Huaxing Chinese School.

Any School Credit issued by Huaxing Chinese School is subject to the following terms:

  • Validity: School Credit is valid through the end of the following school year. Any unused balance will expire at the end of that school year unless otherwise approved by the School.
  • Eligible Use: School Credit may be applied toward eligible tuition, classes, or activities offered by Huaxing Chinese School.
  • Family Use: School Credit may be used by the student or another member of the same immediate family.
  • Non-Transferable: School Credit may not be transferred, sold, or given to another family.
  • No Cash Value: School Credit cannot be redeemed or exchanged for cash.
  • Tuition Difference: If the cost of a future class or activity exceeds the available School Credit, the family is responsible for paying the remaining balance. If the cost is less than the available School Credit, the unused balance will remain available until the credit expires.
  • Expiration: Any unused School Credit remaining after its expiration date will be forfeited and will not be refunded or converted to cash.

The School reserves the right to review exceptional circumstances and approve an extension or other reasonable arrangement on a case-by-case basis.

In cases involving serious illness, family relocation, or other special circumstances, the student or parent/guardian may submit a written request along with any necessary supporting information. The School will review such requests on a case-by-case basis and determine whether a refund, School Credit, or another appropriate arrangement may be provided.

4. Class Transfers

If a student determines that the level, schedule, or content of the registered course is not suitable, the student may request a transfer to another appropriate course, provided that space is available and the transfer is approved by the applicable instructor(s) and the School.

If the tuition for the new course is higher than the tuition for the original course, the student will be responsible for paying the difference.

If the tuition for the new course is lower than the tuition for the original course, the difference will be issued as School Credit.

5. Course Cancellation by the School

If a course is canceled due to insufficient enrollment, teacher availability, or other reasons attributable to the School, students will be offered one of the following options, as appropriate:

  • Transfer to another suitable course, with the applicable tuition adjusted accordingly; or
  • Receive a refund for the unused portion of tuition for the canceled course.

6. Student Absences and Class Cancellations

If a student misses a class for personal reasons, including but not limited to travel, competitions, other activities, scheduling conflicts, or personal scheduling changes, no per-class refund, tuition reduction, or School Credit will be provided.

If a class is canceled due to the School or the instructor, the School will make reasonable efforts to arrange a make-up class of equivalent instructional time. If a make-up class cannot be arranged, the School will refund the tuition corresponding to the canceled instructional time or provide another reasonable arrangement.

7. Other Fees and Volunteer Deposit

Fees for textbooks, materials already purchased or used, activity fees, and other expenses already paid or incurred by the School are generally non-refundable.

The $50 Volunteer Deposit is separate from tuition. Its payment, refund, or credit is governed by the School’s volunteer policy for the applicable school year and is not subject to this Withdrawal & Refund Policy.

Volunteer Policy: Each family is required to pay a separate $50 Volunteer Deposit at the time of registration. Each family is expected to complete three (3) volunteer shifts per semester, for a total of six (6) volunteer shifts per school year.

Families that complete the required volunteer service will receive a refund of the $50 Volunteer Deposit at the end of the school year. At the parent/guardian’s request, the $50 may instead be applied as a credit toward tuition for the following school year.

If a family does not complete the required volunteer service requirement, the $50 Volunteer Deposit will not be refunded.

We sincerely appreciate the time, support, and contributions of all of our parent and family volunteers.

8. Withdrawal Requests and Refund Calculations

All requests for withdrawal, class transfer, or refund must be submitted to the School in writing.

The amount of any refund or School Credit will be calculated based on the date the School receives the formal written request, the number of classes the student has attended or that have already occurred, and any applicable expenses already incurred by the School.

Refunds may require processing time and will be issued according to the School’s applicable financial and administrative procedures.

9. Acknowledgment of Policy

By completing registration and submitting tuition payment, the parent/guardian or adult student acknowledges that they have read, understood, and agreed to comply with the Huaxing Chinese School Withdrawal & Refund Policy.

Huaxing Chinese School reserves the right to review special circumstances on a case-by-case basis and make reasonable determinations based on the specific circumstances.
